
ONLINE TEAM CHECK-IN INSTRUCTIONS
How To Complete Check-In

Login

Click the “my teams events” tab

Click the blue “manage teams” button next to our event

Click the “Online Team Check In” tab
-
Select your team
-
If your roster is valid, you will be able to click Submit!
-
If they are not, you will see “Invalid!” in red under the Roster Validation column
-
Click “Invalid” and it will tell you the validation errors you need to correct

How to Find My Roster Validation Errors

Login
-
Click the “My Teams Events” tab
-
Click the blue “Manage Teams” next to Big South
-
Click the “Event Roster” tab
-
At the top right, you will either see a red bar that says “Team Roster Validation Errors” or a green bar that says "Team Roster Valid"
-
If it is the red "Team Roster Validation Errors" bar, click on it to see all of your roster validation errors

Importing & Creating Rosters

Login
-
Click on “My Club”
-
Click on the “Athletes” tab
-
Click on the blue button that says “Import”
-
Click the “Start Import” button at the bottom
-
Please be patient, it can take a while especially with large clubs
-
PLEASE NOTE: SportsEngine does not share the API needed to transfer over teams that are previously built in their system. Once athletes and staff are imported, you will have to build your rosters in SportWrench for each team.

Creating Rosters:

Adding Players to Roster
-
Go to the "Athletes" tab
-
Sort your athletes by age by clicking the "age column"

Select all athletes you want affiliated to your team
-
Click the green "Add to Team" button in the righthand corner
-
Select the team you want to assign your players to from the drop-down menu
-
Repeat for all athletes
-

Assigning Jersey Numbers to Players

Go to the “Athletes” tab
-
Under the “Uni” column, assign the players jersey number in the field

Assigning Positions to Players
-
Go to the “Athletes” tab
-
Under the “Pos” column, click on N/A and select a position from the drop-down menu

Adding Coaches to Roster

Go to the "Staff" tab
-
Select all coaches you want affiliated to your team
-
Click the green "Add to Team" button in the righthand corner
-
Select the team you want to assign your coaches to from the drop-down menu
-
Once assigned to a team
-
Click the coaches name in your “Staff” tab
-
Click the “Teams” tab
-
Set their title for a team by clicking the drop-down menu under the "Title" tab
-
Repeat for all coaches

Adding Coaches as Primary

Go to the "Staff" tab
-
Select the coach you want to make Primary for a team
-
Click the "teams" tab
-
Check the box under the "Primary" column
-
Please Note: You can only have 3 coaches listed as primary for each roster

Adding Coaches to Multiple Rosters

Go to your "Staff" tab
-
Click the coach's name that you want to add to another team

Click the blue "teams" tab

Click the "add to team" button

Select your team
-
Set their title for the new team by clicking the drop-down menu under the "Title" tab

Click close

Adding Coaches Cell Phone Numbers

Go to your “Staff” tab
-
Click on a coach’s name
-
Add cell phone number in the field titled “Mobile Number”

This is the only number needed
-
These do not pull through during your SportsEngine Import
-
Coaches must have a unique cell # in order to receive their QR Code for entry

Adding Coaches Email Addresses

Go to your “Staff” tab
-
Click on a coach’s name
-
Add email address in the field titled “Email”

These do not pull through during your SportsEngine Import

Coaches must have a unique email in order to receive their QR Code for entry

Adding Junior Coaches
-
Junior coaches can only be added to a roster by contacting info@musiccityvb.com with the following information:

team name
-
coach's first and last name
-
junior coaches email & cell
-

Junior coaches WILL count as one of your primary staff members
-

If email and cell number are not provided, the head coach of the team with the Jr. Coach will receive an email from info@musiccityvb.com or info@sportwrench.com with the Jr. Coach's QR Code for entry the night before the event starts.

Import Errors & Rebuilding Rosters
Importing Error Codes:
Players and/or coaches are on my AES and SportsEngine roster, but are not importing to SportWrench:
If they are not pulling through on your import that means they are not associated to your club in SportsEngine. Even though they may show up on your SportsEngine rosters or on your AES rosters, it does not mean that they are associated to the club.
To resolve this issue you need to send a club assignment invite from the Club HQ in SportsEngine to the members who are currently not associated. They will then go into their personal account in SportsEngine to accept that invite. Once they accept the invite they will be associated to your club and you will be able to do an import in SportWrench and they will pull through.
My coach has their SafeSport certificate completed but SportWrench says that they don't:

Coaches will not show as having any certificates until all required certificates are completed.

SportsEngine only allows us to do one pull of certificates, so once everything is completed you will be able to do an import and all certificates will show as GOOD, OK or VALID on SportWrench.
Rebuilding Roster in SportWrench:
Unfortunately, SportsEngine does not share the API needed to transfer over teams that are previously built in their system. So, you will have to build your rosters in SportWrench for each team. It’s definitely tedious but unfortunately this is a SportsEngine restriction that third party software’s like us cannot change. I do want you to know that this is something we have fought for and continue to fight for because we know how much of a burden it is for our attending teams.
